Advancing a headliner: what goes wrong, and where
A booking is a contract. Advancing is the work that turns it into a show that starts on time. Almost every problem shows up in the same handful of places.
Advancing is not paperwork
It is the conversation between your production and the artist team about how the day actually runs: arrival, technical setup, soundcheck, stage time, and everything the rider promises. Done late, it becomes a series of surprises on the day.
Where it breaks
The rider read too late. Technical requirements that need ordering - specific monitors, a particular booth, playback formats - discovered in the final week cost multiples of what they cost in month one.
Travel that nobody owns. A flight lands, and it is unclear whose driver is waiting. Name the person for every leg, and put a phone number next to it that answers at three in the morning.
Stage times moving. Every change ripples through curfew, transport and the other artists. Change it once, in writing, to everyone.
Visas and work permits for non-EU artists. This is a lead-time problem, not a paperwork problem, and it cannot be solved in the last fortnight.
The document that prevents most of it
One running order that everyone works from - artist team, production, security, bar, drivers. Not four versions in four inboxes. If somebody has to ask which version is current, the document has already failed.
Hospitality is operational, not decorative
The rider exists so the artist can work. Food at the right hour, a room that locks, a clear route to stage. Treating it as a wish list produces a tense backstage, and a tense backstage is audible.
The day sheet, on one page
Arrival times per person, ground transport with driver names and numbers, hotel and room allocation, load-in and soundcheck slots, set times with changeovers, curfew, and one emergency contact per party.
One page. If it needs two, something on it is not needed on the day.
Confirm in writing, twice
Once when advancing closes, once forty-eight hours before. The second confirmation catches the flight that moved and the tour manager who changed since the first conversation.
Keep both in the same thread as the contract, so anyone stepping in can reconstruct what was agreed without asking three people.
